This Privacy Policy explains how TechForYou collects, uses and protects your personal information in compliance with the Protection of Personal Information Act 4 of 2013 (POPIA).

TechForYou (“we”, “us”, “our”) is the responsible party as defined in the Protection of Personal Information Act 4 of 2013 (POPIA). This means we determine how and why your personal information is processed.

This Privacy Policy applies to all personal information collected through www.techforyou.co.za and any associated services, including the chatbot assistant (Tina) and any white-label instances of the TechForYou platform.

2.1 Information you provide directly

When you contact us via WhatsApp, email or any contact form on the Website, you may provide:

  • Your name
  • Your phone number (if contacting via WhatsApp)
  • Your email address
  • The content of your message or enquiry

When enquiring about white-label services, you may additionally provide:

  • Organisation or development name
  • Your role or position
  • Physical address of the development

2.2 Information collected automatically

When you visit the Website, certain information is collected automatically by our hosting platform and analytics tools:

  • IP address
  • Browser type and version
  • Pages visited and time spent on each page
  • Referring website (the site you came from)
  • Date and time of visit

This information is collected in aggregate and is generally not linked to individual identities. It is used to understand how visitors use the site and to improve content.

2.3 Chatbot interactions

When you use the TechForYou chatbot (Tina), your messages are processed by Chatbase, our third-party chatbot platform. This means:

  • The content of your chat messages is transmitted to and processed by Chatbase
  • Chat logs may be retained by Chatbase in accordance with their own Privacy Policy
  • We may review anonymised chat logs to improve Tina’s responses and identify content gaps

Important: Do not share sensitive personal information in the chatbot. This includes your ID number, banking details, passwords, OTPs, or any financial account information. The chatbot is not a secure channel for sensitive data.

2.4 Cookies

The Website uses cookies — small text files stored on your device — to improve your browsing experience. Cookies we use include:

  • Essential cookies — required for the site to function correctly
  • Analytics cookies — used to understand visitor behaviour in aggregate (e.g. Google Analytics)
  • Preference cookies — used to remember your settings

You can control cookies through your browser settings. Disabling essential cookies may affect the functionality of the Website.

4.1 Hosting provider

The Website is hosted on Domains.co.za. Your browsing data and any information submitted through the Website passes through their infrastructure. Domains.co.za operates data centres in South Africa.

4.2 Chatbase

Our chatbot (Tina) is powered by Chatbase (chatbase.co). Chat messages are processed on Chatbase’s servers. Chatbase’s Privacy Policy is available at chatbase.co/privacy. We recommend you review it if you have concerns about chatbot data processing.

4.3 Analytics

We use Google Analytics to understand how visitors use the Website. Google Analytics collects anonymised, aggregated data about page visits and browsing behaviour. Google’s Privacy Policy is available at policies.google.com/privacy.

4.4 Legal requirements

We may disclose personal information if required to do so by law, by a court order, or by a lawful request from a South African regulatory authority or law enforcement body.

We do not transfer personal information outside the Republic of South Africa except where necessary to use the third-party services described above (Chatbase and Google Analytics, which may process data internationally). Where such transfers occur, we rely on those providers’ compliance with applicable data protection frameworks.

Plain language summary: We keep your information only for as long as we need it. When we no longer need it, we delete it.

We retain personal information only for as long as necessary to fulfil the purpose for which it was collected, or as required by law:

  • Enquiries and contact messages — 12 months from last contact, unless a business relationship is established
  • White-label client information — for the duration of the agreement plus 5 years for legal and accounting purposes
  • Analytics data — in aggregate form only, retained indefinitely as it is not linked to identifiable individuals
  • Chatbot logs — subject to Chatbase’s own retention policy

When personal information is no longer required, it is deleted or anonymised in a secure manner.

As a data subject under POPIA, you have the following rights in relation to your personal information held by TechForYou:

6.1 Right to access

You have the right to request details of the personal information we hold about you and how it is being processed.

6.2 Right to correction

You have the right to request correction of any inaccurate or incomplete personal information we hold about you.

6.3 Right to deletion

You have the right to request deletion of your personal information where it is no longer necessary for us to retain it, subject to any legal obligations requiring retention.

6.4 Right to object

You have the right to object to the processing of your personal information where we rely on legitimate interest as our legal basis, subject to our overriding legitimate grounds.

6.5 Right to withdraw consent

Where processing is based on your consent, you have the right to withdraw that consent at any time. Withdrawal does not affect the lawfulness of processing carried out prior to withdrawal.

6.6 Right to complain

If you believe your rights under POPIA have been violated, you have the right to lodge a complaint with the Information Regulator of South Africa:

In the event of a data breach that poses a risk to your rights and freedoms, we will notify you and the Information Regulator as required by POPIA.
